Position Summary
The Landscaping Project Manager & Estimator is responsible for accurately estimating and bidding installation projects, then managing those projects through execution — coordinating crews, communicating with customers, and ensuring work is completed on time, on budget, and to quality standards. This role bridges the sales/estimating side of the business with day-to-day field operations, making sound judgments on pricing and scheduling essential to success. Minor landscaping design work may be required as well.
Key Responsibilities
Estimating & Bid Creation
- Prepare accurate project estimates and bids for landscape installation work, including labor, materials, equipment, and subcontractor costs
- Perform detailed labor and materials pricing calculations, referencing current cost data and company pricing standards
- Review project scope, site conditions, and customer requirements to develop competitive, profitable proposals
- Prepare and present proposals, drawings, and design concepts to customers as needed
Project Management
- Own installation projects from award through completion, including scheduling, sequencing, and resource planning
- Assign and direct crew tasking to ensure projects are staffed appropriately and progressing on schedule
- Monitor project budgets and labor hours against estimates, flagging and addressing variances proactively
- Coordinate materials ordering, deliveries, and subcontractor/vendor scheduling
- Conduct site visits and inspections to monitor progress and quality of work
Customer Communication
- Serve as the primary point of contact for customers during active installation projects
- Provide regular project updates, manage expectations, and resolve issues or change orders promptly and professionally
- Ensure a high standard of customer service throughout the project lifecycle, supporting long-term client relationships
Qualifications
Required
- Minimum 5 years of experience in the landscaping industry, with direct responsibility for installation work and project management
- Demonstrated experience estimating and bidding landscape installation projects
- Proficiency with Microsoft Office (Excel, Word, Outlook) and Google Workspace
- Proficiency with Adobe CAD and SketchUp for design and drawing work
- Working familiarity with AI tools such as ChatGPT, Claude, or similar LLMs for daily productivity
- Valid driver’s license with a clean driving record
- Strong organizational skills and ability to manage multiple projects simultaneously
- Excellent verbal and written communication skills
Preferred
- Experience with landscape business management software — Jobber, LMN, or Aspire (experience with one or more required)
- Spanish language proficiency highly valued
- Formal training or certification in landscape design, horticulture, or construction management
Physical Demands
This position requires regular travel between the office, job sites, and customer properties throughout the Central Coast service area. Site visits may involve walking uneven or sloped terrain, standing for extended periods, and occasional lifting of materials or equipment (up to 50 lbs).
